Privacy Policy

Overview

This Privacy Policy explains how Ultranivo(“we”, “us”) collects, uses, and protects information when you use our platform — whether you register an organization (“Tenant”) that uploads content, or you interact with a Tenant’s branded assistant as an end-user.

Each Tenant is responsible for its own privacy practices toward its end-users (for example, how it communicates with its students, clients, or patients). This Policy covers our handling of data as the platform operator — it does not govern how a Tenant itself uses the answers or leads generated through its assistant.

Who we are

Ultranivo is operated by Ikram Ul Haq, an individual, doing business as “Ultranivo”. For any privacy question or request, contact support@ultranivo.com. Governing law and jurisdiction for disputes are set out in our Terms & Conditions.

Information we collect

  • Account information: email address, organization name and domain, and authentication data (including Google OAuth identifiers if you sign in with Google).
  • Uploaded content: documents, files, and video links a Tenant submits, along with the text, transcripts, and embeddings derived from them.
  • Usage data: chat queries, response logs, and usage counters used to enforce plan limits.
  • Payment data:our payment processor handles your billing details directly — see “How your data flows” below. We never receive or store raw card numbers.

How your data flows through our infrastructure

We rely on a small set of infrastructure providers to operate the platform:

  • Database: account, content, and chat records are stored in MongoDB, in a dedicated database per Tenant.
  • Vector search: Qdrant stores embeddings of your uploaded content so relevant passages can be retrieved for each query.
  • AI providers: query context is sent to Google Gemini (with OpenRouter or Groq as fallback providers) to generate answers. These providers act as our sub-processors and do not use your content to train their own models outside the terms of our agreements with them.
  • File storage: original uploaded files are stored in AWS S3.
  • Email: transactional emails (verification, password reset) are sent via Resend.
  • Rate limiting: Redis is used only to enforce request rate limits — not for tracking or profiling.
  • Payments: subscription billing is processed by our payment processor (merchant of record), which handles your card details, taxes, and receipts directly. We never see or store your raw card number.

Analytics

We use analytics tools (such as Google Analytics / Google Tag Manager) only on our own marketing site and admin dashboard, to understand visits and signups on ultranivo.com. We do notinject our own analytics into any Tenant’s branded, end-user-facing assistant. If a Tenant configures their own analytics for their assistant, that is the Tenant’s own tool and own data, entirely independent from ours.

Data retention & deletion

We retain account and content data for as long as your account or subscription is active. If you cancel or your account is terminated, your content is retained for a limited period in case you resubscribe, and then permanently deleted. You can request earlier deletion by contacting us.

Tenant-uploaded content

When a Tenant uploads content, we store, index, and serve it on that Tenant’s behalf as a processor — we do not review, endorse, or claim ownership of it. The Tenant remains solely responsible for the legality and accuracy of content it uploads, as described in our Terms & Conditions.

Children's privacy

End-users interacting with a Tenant’s assistant must be at least 13 years old. Registering as an organization admin requires you to be at least 18. See our Terms & Conditions for the full eligibility rules.

Cookies

We use a single functional, necessary cookie to keep you signed in to your dashboard. We do not currently use tracking or advertising cookies on our own domain.

Your rights

You may request access to, correction of, or deletion of your personal data by contacting us at support@ultranivo.com. We will respond within a reasonable time.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
